Healthcare / Expense management

Know what you pay for.
Know who owns it.

A practical starting point for reconciling technology spend across healthcare locations—with finance, IT and site owners in the same conversation.

Agree on scope, evidence access and responsibilities before an engagement. No regulatory compliance assessment is offered.

Four buyer questions

Do the contract, invoice and site inventory agree?

Begin with an agreed site group and service category. Match provider charges to the available contract terms, service record and business purpose. An acquired clinic may carry a different provider name or billing address; record that discrepancy for verification rather than assuming duplication.

Useful evidence: recent invoices, current inventory, contract schedules and a named service owner. Do not change or disconnect services without reviewing owners, dependencies, operational impact and approvals.

Who owns the service—and the next renewal?

Separate the operational owner, billing contact and contract decision-maker. Record the renewal date, notice deadline and next review date, using the contract as the authority. If a date or owner is unknown, make it an assigned question with a deadline.

Illustrative situation: a newly acquired outpatient site has an approaching circuit renewal. The next action is to verify the agreement and dependency map with the site and network leads, before recommending a change.

What is verified, and what is still projected?

Keep a realized credit or confirmed cost reduction separate from a recommendation, pending claim or forecast. Show the period, baseline, evidence, approval status and responsible reviewer for each item.

  • Verified: supported by the agreed financial evidence and reviewer confirmation.
  • In progress: action underway; result not yet confirmed.
  • Projected: estimate with explicit assumptions; not a realized outcome.

How does this work with existing finance and IT teams?

Start by agreeing who supplies records, resolves exceptions, approves decisions and verifies the outcome. Finance can validate billing and allocation evidence; IT and site owners can explain service purpose and dependencies. Confirm the actual division of work with OPTRIC’s delivery team.

The goal is an actionable review record: discrepancy, evidence needed, accountable role and next decision. Customer security and clinical responsibilities remain with the authorized teams.
